Purpose of Collection

STS Student Exchange (we or us) collects personal information about you for the purpose of providing educational exchange programs and associated services. This also includes the following purposes:

  • to assist in the management and administration of your exchange program;
  • to determine whether you are eligible for the program you applied for;
  • to notify you about changes or news relating to the program you applied for;
  • to send you information on related STS Student Exchange products/services which we think you may be interested in;
  • to notify you about changes to our website; and
  • to ask your opinion to help us improve our service.
We only ask for information that is necessary for the purposes outlined in this policy.
 
Collection
 
STS Student Exchange collects all personal information directly from the individual, except in the case of references.
 
Disclosure
 
We will not sell, share, trade or give away any information we hold about you to anyone outside STS Student Exchange, STS overseas offices and recognised partner organisations, and to those companies used for the purposes of supplying insurance, visa processing and travel services .
We will only disclose personal information if required to do so by law or in the good-faith belief that such action is necessary to (a) conform to the edicts of the law or comply with legal process served on STS Student Exchange; (b) protect and defend the rights or property of STS Student Exchange, and (c) act under exigent circumstances to protect the personal safety of you or other people.

STS Student Exchange takes appropriate measures to protect the security of your personal information and to ensure that its intended use is honoured. We take appropriate precautions to protect your information from loss, misuse, unauthorized access or disclosure, alteration, or destruction.
 
Personal information collected by STS Student Exchange is stored in secure operating environments that are not available to the public. STS Student Exchange will protect your personal information no matter where we process or store your data by following this privacy statement.
 
 
 
Access
 
We will provide you with the means to ensure that your personal information is correct and current. STS staff will make regular contact with you throughout your application and placement, where you will have every opportunity to ask questions, make corrections/amendments to information provided, express any concerns etc.

Upon application to our program
 
The personal information you will provide to us by completing this application package will be needed to process your application, both in Australia and overseas, and to support you throughout your placement.
 
Who will have access to your personal information and why,
  • STS Staff, both in Australia and overseas, or partner organisation Staff to process your application and to support you during your placement;
  • Host School – to the extend necessary to enrol and support you during your placement;
  • Host Family – to the extend necessary to support you during your placement;

How we’ll protect your personal information,

STS Student Exchange has various mechanisms in place to protect your personal information, such as;

  • Passwords and Staff ID logins
  • Information is on a ‘need to know’ basis
  • Storage of information is secure
  • Records are only kept past the placement where legally necessary
